The real problem

The administrative burden killing clinical efficiency.

Physicians and clinical staff in Kingsport, Johnson City, and Bristol didn't go into medicine to spend half their day on paperwork. But that's increasingly where the time goes. Not to patients, not to clinical judgment, but to prior authorizations, documentation, referral tracking, and insurance correspondence that requires a human signature but not necessarily a clinical brain.

Prior authorizations alone consume hours per week at practices of every size. Referral follow-ups get dropped because there's no system that catches the gap. Documentation backlogs grow because charting after a full patient schedule means staying late or falling behind. Appointment reminders go out inconsistently or not at all because that job lives in whoever has a spare minute.

These are the areas where AI creates real, immediate value, and where the compliance requirements that make healthcare different actually become an advantage with the right setup.

What AI handles

Where AI helps without touching clinical decisions.

The boundary matters. AI handles administrative work. Clinical judgment stays with the physician. These applications are clear on that line.

01

Prior authorization letter drafts

AI generates prior auth letters from clinical notes and payer requirements. Staff review, edit, and submit. The drafting that used to take 20 minutes per request takes two. Rejections from incomplete submissions drop.

02

Appointment reminders & follow-ups

Automated reminder sequences that reduce no-shows without requiring anyone to make calls. Post-visit follow-ups confirm next steps and surface patients who haven't scheduled follow-up care.

03

Referral tracking & coordination

Outbound referrals get tracked so the gap between "we referred you" and "did they ever go?" closes. Automated follow-up catches the patients who slip through without anyone manually managing a spreadsheet.

04

Documentation & billing support

Visit summaries from structured notes or voice input, with billing code suggestions based on documented services. Physicians review and approve. The first draft is already done when they sit down.

Compliance first

HIPAA and compliance: what you need to know.

Not all AI tools are appropriate for PHI

Generic consumer AI platforms, ChatGPT, Gemini, and others, are not HIPAA-compliant by default. Sending patient information to these systems creates real legal exposure. The tools we deploy are selected and configured specifically for healthcare data handling.

Business Associate Agreements required

Any vendor that processes PHI on behalf of a covered entity needs a signed BAA. Tri-Cities AI Lab operates under appropriate agreements and selects tools that support BAA execution. No tool gets deployed without verifying this first.

On-premise options available

For practices with the highest confidentiality requirements, local AI deployments that never send data outside your network are viable and increasingly affordable. We evaluate this option for every medical client.

What you get

Administrative capacity back. Compliance intact.

Every system we build for a medical or professional office starts with a compliance review. The tools that come out of it are designed to create capacity, not liability.

Prior Auth Drafting Tool

A structured system for generating prior authorization letters from clinical notes, reviewed and submitted by staff, but drafted in a fraction of the time.

Patient Communication Sequences

Appointment reminders, post-visit follow-ups, and recall communications that run automatically and reduce administrative phone volume.

Referral Tracking System

Outbound referral logging with automated follow-up checkpoints so referred patients don't fall through the gap between your practice and the specialist.

Compliance Architecture Review

Before any tool is deployed, a review of data handling, vendor agreements, and PHI exposure, so you know exactly what you're running and why it's appropriate.
